As required by CUNY Policy, every semester, all faculty must verify that students who are registered for their course(s) are in fact attending or participating. This process is essential, as it confirms that a student who is receiving federal or state financial aid is actually attending your course(s). If we do not verify rosters accurately and a student receives funds but is not attending your class, we are required to repay the State of New York for TAP or the Federal Government for Pell. The new Excelsior Scholarship program includes a similar penalty. Please keep in mind that any student who is attending your class who is not on your class roster is not registered for your course.
- It is imperative that faculty accurately report student attendance.
- Logging into an online class is not sufficient, by itself, to demonstrate academic participation by the student.
Academically related activities include, but are not limited to:
- physically attending a class where there is an opportunity for direct interaction between the instructor and students
- submitting an academic assignment
- taking an exam, an interactive tutorial, or computer-assisted instruction
- attending a study group that is assigned by the school
- participating in an online discussion about academic matters
- initiating contact with a faculty member to ask a question about the academic subject studied in the course.
How to complete the VOE rosters: Please click here for a step-by-step guide for completing the VOE rosters. Students marked as "never attended" on the Verification of Enrollment (VOE) Rosters will be assigned a grade of WN (never attended). A grade of WN may have an adverse impact if the student is a financial aid recipient. Also note that any student assigned a WN grade will lose access to Blackboard and Brightspace as the student is considered withdrawn from the course.
WN Grade
- If the WN grade is assigned in error, the faculty member must submit a WN Reversal request using the Grade Change Forms tile available in the Faculty Center in CUNYfirst.
- If a student is marked as attending in error, faculty members can update the student's grade. To submit a request to add a WN grade, select the "Add WN Grade/Update VOE" option.
Note: It is against CUNY and John Jay College policy for students to attend a course for which they are not officially enrolled. Students attending your course who do not appear on your roster should be asked to email registrar@jjay.cuny.edu.
